What software development actually costs, and why quotes differ

What drives software development cost, why quotes differ so widely, and how to read a proposal without being surprised.

There is no single price, because the words people use cover unrelated objects. A presentation website and a fleet management platform share the word "project" and nothing else. Before comparing numbers, make sure the two quotes describe the same thing — most of the time they do not.

Three variables explain most of the spread. The number of genuinely distinct screens to design. Whether there is an authenticated area with accounts, roles and permissions, which roughly doubles the surface to build and test. And how unusual your business rules are: the more specific your operation, the more must be written explicitly rather than configured.

A readable quote always separates design, development, hosting and maintenance. If it states one global figure with no breakdown, ask for it — that is the only way to compare two proposals, and a supplier who resists the question is telling you something.

Be careful with very low figures attached to a mandatory subscription. Real cost is measured over three years, not on delivery day. And check who owns the code and the domain at the end of the contract: software whose source you do not hold is software you are renting.

One line is almost always missing and almost always expensive: data migration. Your spreadsheets, your legacy system, your history have to move, and the work depends entirely on how clean your current data is. Ask for it to be priced separately, before the project starts rather than after.
